All data that is collected requires an associated appointment. Simply create a new appointment or open a previous appointment to begin collecting data. If you use the Quick Action Capture feature, TeleDent will automatically generate an appointment for the data.
Once an appointment is created, you can begin capturing patient data in the Collect Data tab of the appointment.
There are several types of data that you can collect within an appointment:
- Images - Including intraoral / extraoral images, videos, radiographs
- Notes - Including head and neck exams and risk assessments
- Documents - Including HIPAA waivers, consent forms, medication list, and perio charts
- Audio recordings
After the clinical data has been collected in an appointment, it can be reviewed by a remote provider. For information about assigning a task, such as letting another provider know that data is ready to be reviewed, click here.
Data for a specific appointment can be viewed in the Review tab of the appointment.
To view all collected data for a patient, navigate to the patient record and click on the Collected Data tab.
Note: The only data that will not be automatically associated with an appointment are images and videos that a patient sends a provider through secure messaging and anything that is directly uploaded in the Collected Data tab of a patient record. |
Capturing and Uploading Images and Video
To capture and upload images and video, click on the Collect Data tab of an appointment.
In the Images panel click “Capture New Images.”
Make sure the MouthWatch camera is plugged in. It will automatically turn on when it is accessed by the software. You can cycle through the available cameras by clicking the "Camera" button
To take the photo, click the “Photo” button, or click the capture button on your intraoral camera. Images will autosave to the right of the screen.
To record video, click the “Video” button.
To start and stop recording, click the button, or use the capture button on your camera.
To upload images, click the “Upload Media” button. Open the desired file from your device.

When all images have been captured, you can assign a Task for a provider to Review the captured clinical data, OR return to the Appointment page to enter notes, etc., OR Create a Treatment Plan from the captured data.
Editing Images
Once an image is captured, you can add notes, designate a tooth number, and export the image to your device.
To assign a tooth number, select Tooth Number from the drop-down menu of the desired image.
Assign a primary or permanent tooth number from the pop-up window.
Click “Done.”
To add a note, select Note from the drop-down menu.
Enter a title and body text of your note.
Click “Add Note.”
To export the image to your device, select Export.
To delete an image, select Delete.
Adding Notes
To add textual notes to an appointment, do the following:
1. In the Notes panel click “Add.”
2. Enter a title and body text for your note.
3. Click “Add Note.”
Your note will now appear in the Notes panel.
Adding Documents
To add documents to an appointment such as a medical history or periodontal chart, do the following:
1. In the Documents panel click “Add.”
2. In the pop-up window, select the desired document and click “Open.”
Your document will now appear in the Documents panel.
Adding Audio
In addition to adding notes, documents and images, you can record audio memos into an appointment as well.
To add an audio memo, do the following:
1. In the Audio panel, click “Add.”
2. Click “Record” to begin recording audio.
3. Click “Stop” to stop recording.
4. Enter a title for the memo in the provided field, or you can use the automatically generated title.
5. Click “Save.”
Your audio memo will now be visible in the Audio panel.
Note: In order to record audio memos, you must allow TeleDent access to your internal microphone. |
